UltraVision Imaging (“UltraVision Imaging,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit https://ultravisionimaging.com/ (the “Site”), submit a request through our forms, including an appointment request, communicate with us by phone, email, or text message, make a payment where offered, or otherwise use our services.

Important HIPAA Notice

Information collected through the Site, such as contact details and scheduling requests, is not treated as Protected Health Information (PHI) under this Privacy Policy. We do not request medical details through general Site forms. PHI collected in connection with diagnostic care is governed by our HIPAA Notice of Privacy Practices and applicable law, not by this Privacy Policy. Important Notice Regarding Text Messaging Data

UltraVision Imaging does not share mobile phone numbers, text messaging originator opt-in data, or consent records with affiliates or third parties for their own marketing or promotional purposes. We may provide this information only to vendors that support delivery of our text messaging services, and only as necessary to provide those services or as required by law. Text messaging opt-in data and consent records are kept confidential and are not sold, rented, or traded.

2. Information We Collect

A. Information You Provide

Depending on how you interact with us, we may collect:

  • Your first and last name;
  • Email address and phone number;
  • Physical or service address, when needed to provide services;
  • Company or clinic name, if applicable;
  • Your message, inquiry, service request, and scheduling details, such as preferred dates, times, and requested service;
  • Communication preferences, including timestamped SMS and email opt-in, opt-out, and consent records;
  • Records of customer support communications, service history, preferences, and feedback; and
  • Transaction details when you make a payment. Payment card or bank information may be collected directly by a payment processor. We may receive limited payment information, such as transaction status, amount, and a payment method identifier, but we do not necessarily receive or store complete payment credentials.

Our general Site forms collect contact information and requests to schedule or receive information. Please do not submit medical histories, diagnoses, test results, insurance information, or other sensitive health information through a general Site form.

B. Information Collected Automatically

When you use the Site, we and our service providers may automatically collect:

  • Communicate about scheduling, confirmations, reminders, customer care, and services you requested;

We use analytics and advertising tools, including Google Analytics, Google Ads, and the Meta/Facebook Pixel, to understand Site use, measure performance, and support advertising and remarketing. These tools may use cookies, pixels, or similar technologies and may receive online identifiers and activity information, such as an IP address, device and browser information, pages viewed, and Site interactions.

We also use Google reCAPTCHA to protect forms from spam and abuse. Use of reCAPTCHA is subject to the Google Privacy Policy and Google Terms of Service.

5. SMS Messaging and Compliance

Text Message Program

If you provide your phone number and expressly opt in, UltraVision Imaging may send transactional and informational text messages related to appointment scheduling, confirmations, reminders, customer care, and related services. Consent to receive text messages is not a condition of purchasing goods or services.

Opt-In and Consent

  • We send text messages only after you have provided the consent required for the applicable message type.
  • We maintain timestamped records of SMS opt-in and opt-out actions.
  • We seek to comply with the Telephone Consumer Protection Act (TCPA) and other applicable requirements.
  • We do not send marketing or promotional text messages without the consent required by applicable law.

Opt-Out Instructions

  • You may cancel text messages at any time by replying STOP.
  • We may send one final message confirming your opt-out. No further text messages will be sent unless you re-opt in or applicable law otherwise permits them.
  • We process opt-out requests promptly. A short processing delay may occur where permitted by law.

  • Message frequency varies based on your interactions with UltraVision Imaging.
  • Messages are related to the services, appointments, support, or information you requested.

SMS Data Protection

No mobile information will be shared with third parties or affiliates for their own marketing or promotional purposes. Information may be shared with subcontractors and service providers that support our messaging program, such as platform providers, aggregators, carriers, and customer support vendors, only as necessary to provide the text messaging services. All other categories of information sharing described in this Privacy Policy exclude text messaging originator opt-in data and consent records, except where disclosure is required by law.

6. How We Share Information

We do not sell personal information for money, and we do not rent or trade personal information. We may disclose information in the following circumstances:

A. Service Providers

We may disclose information to vendors that help us operate the Site and our business, such as website hosting, analytics, communications, appointment scheduling, customer support, payment processing, security, and SMS delivery providers. They may access information only as reasonably necessary to perform services for us and are expected to protect it.

B. Advertising and Analytics Partners

We use Google Ads, Google Analytics, and the Meta/Facebook Pixel. Their use of cookies and similar technologies may involve the “sharing” of online identifiers and browsing activity for cross-context behavioral advertising or remarketing, as those terms are defined under California law. You may opt out as described in Sections 9 and 10.

C. Legal and Safety Reasons

We may disclose information when required by law, legal process, court order, or a valid government request, or when we reasonably believe disclosure is necessary to protect rights, safety, security, or property.

D. Business Transfers

SMS exception: The categories above exclude mobile phone numbers, text messaging originator opt-in data, and consent records from disclosure for third-party or affiliate marketing and promotional purposes. These records may be provided to messaging service providers only as necessary to deliver the messages you requested, or disclosed where required by law.

7. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including responding to requests, providing services, maintaining consent and opt-out records, keeping business and transaction records, resolving disputes, enforcing agreements, and complying with legal obligations. Retention periods may vary depending on the type of information and applicable requirements.

12. Children’s Privacy

The Site is not directed to children, and we do not knowingly collect personal information directly from children through general Site forms. We do not knowingly sell or share the personal information of consumers under 16 years of age. When we provide pediatric ultrasound services, information about a minor patient is collected through our clinical intake process, not through a general Site form, and is handled in accordance with HIPAA and applicable law.

If you believe a child has submitted personal information through the Site, please contact us so we can take appropriate action.

The Site may contain links to websites or services operated by third parties. We are not responsible for their content, security, or privacy practices.
